Know who makes the approved bottle
The company issuing a quotation may not be the factory producing the glass. Before approving an order, ask for the actual manufacturer’s legal name, address and the site responsible for production.
This is a practical sourcing check. It helps buyers connect the sample they approve to the goods that will arrive and gives the customs broker a clearer evidence trail.
Connect the factory to the product
Request a product reference that appears consistently on the quotation, drawing, sample approval and production instructions. Keep the approved specification with the manufacturer record.
Where a group operates several sites, establish which site will supply the order. A general introduction to the group does not identify the production source for a particular shipment.
Agree how substitutions are handled
Write into the purchasing instructions that a change of manufacturing source requires notification and buyer review before production. Include changes affecting closures or other components where they influence fit and performance.
A backup factory may offer useful resilience, but it should go through the same specification, evidence and cost review as the original source. Treat a replacement as a fresh decision.
Review the invoice early
Share a proposed commercial invoice with the broker before dispatch, allowing time to correct factual errors. Confirm that the final document reflects the goods and actual producer, and obtain review of any required declaration.
Do not treat a spreadsheet of factory names as sufficient shipment evidence. The record should show which factory produced which goods and connect that record to the order.
Keep a concise supplier file
A usable file includes the agreed specification, manufacturer identity, approval history, inspection plan and shipment documents. Assign someone to maintain the file instead of leaving information scattered across messages.
For a repeat order, check whether the source or specification has changed. Reusing an old approval without checking those facts can create avoidable uncertainty.
